Guidelines for participants and presenters

 AGRIFOODPLAST is a fully-fledged in-person conference, and it is NOT possible to stream remote participants into the session room. Every presenter must have registered for the meeting by 15 March 2025 to secure their presentation slot.

To provide an open and professional forum for scientific exchange, all attendees are expected to adhere to the highest standards of integrity and professionalism and should follow the ethical provisions in terms of code of conduct and code of ethics. 

Be reminded that AGRIFOODPLAST is not only an academic conference. Our mission is to bridge the gap between science and policy; hence all presentations should use a language accessible to a broader expert public (and not only core experts in the field). The short presentation format used here (10 minutes + Q&A) is intended to help you to focus on the most important aspects and results of your research, as well as allowing for a wide range of presentations to be included within the two days. The panel discussion at the end of each section will further reinforce such focus.

Oral Presentation Format

In order to make space for the great number of abstracts we received and to accommodate adequate room for discussion about your results, we will utilise a relatively short presentation format. You will have (strictly) 10 minutes for your talk. A 2-minute question and answer slot will follow immediately after your talk. 

 

Presentations must be given using PowerPoint format. Use a horizontal orientation (landscape) for all PowerPoint slides. Both aspect ratios 16:9 (optimal) and 4:3 is compatible with the screen size. 

 

Your slide presentation should ideally include a maximum of 8-10 slides, including  

  • a title slide 
  • a slide briefly stating the context or background of your research and reporting questions or hypotheses
  • a slide describing the overall approach you used to address this question
  • Methods should avoid including an excess of detail and could typically only use one slide (unless the purpose of the talk is to describe a new method)
  • the following few slides should present your results  
  • a final slide should summarize the conclusions of the study 

Avoid presenting results in a table format, but focus on clear, simple and well meditated graphical representations. 

 

Please respect your audience and avoid providing slides with an excess of text (maximum 8 lines of text are recommended per slide). Use a large font, readable from the back of a large conference room. Make an effort to reduce clutter on PowerPoint slides. Prepare your slides to communicate ideas, not details. If attendees want details, they can ask you during the Q&A period.  

 

We strongly encourage presenters to rehearse before the meeting to ensure that you finish within the allotted time and that the message of your presentation is clear. Unfortunately, we cannot tolerate exceeding the 12-minute slot allocated per presenter. 

 

Review your presentation on a different machine to which it was originally prepared on, especially if you prepared it on a Mac, to ensure the backgrounds, transitions, video clips, graphics and linked images appear properly.  

 

At the end of each section there will be a mini panel discussion, moderated by the section chairs and participated in by all the speakers of the section. This will give room for extra in-depth discussion around the topics presented in the section. 

Poster Presentation Format

Poster presenters should bring their printed poster to the poster areas for a full-day display. There are no printing facilities at the venue, and we have not partnered with any printing vendors. 

Avoid an excess of text and tables, focusing instead on simple, wellconceived and readable graphical displays. Similar to platform presentations, posters are an important means to convey knowledge not only to your expert colleagues but also to policy makers and stakeholders present at the conference. 

Posters are displayed from 9:00 – 18:00. A poster code will be provided in due time indicating the day and location (Poster board) of the poster. For example, poster Tu012 will be displayed on Tuesday on poster board 12. 

Poster orientation should be portrait, NOT landscape and the size should be A0 (84.1 cm [33.11 in.] wide by 118.9 cm [46.81 in.] high). 

Adhesives will be provided in the poster areas to allow you to affix your poster to the board. Please do not use your own pins, tape, velcro or blu-tack. 

Presenters are responsible for the setup and take-down of the poster.  

Poster setup: 08:45-09:00 CEST 

Poster take-down: 17:45-18:00 CEST 

Posters that are not removed by the end of the day will be removed and disposed of for recycling. 

Be at your poster during the poster & networking breaks to discuss your work with scientists and stakeholders visiting your poster. 

Code of Conduct and Code of Ethics

AGRIFOODPLAST adheres to the highest standards of ethics in conducting and disseminating scientific research 

We expect all members of the scientific committee, organizers, guests, and sponsors to conduct themselves and their work responsibly and with integrity, in an objective, lawful and non-discriminatory manner: 

  • Observe research integrity guidelines
  • Refrain from practicing or condoning harassment or discriminatory behaviour of any kind 
  • Objectively and clearly communicate scientific methods, understanding and knowledge in an honest, professional and unbiased manner 
  • Ensure that presentations are restricted to and based on sound scientific principles and made in a respectful manner 
  • Respect intellectual property and provide appropriate attribution for all intellectual property arising elsewhere 
  • Disclose potential conflicts of interest 
  • Not knowingly make false or misleading statements or engage in activities that could be viewed as defamatory about a professional colleague or an organization 
  • Recognize and respect confidentiality while being honest and forthcoming in all issues of public record 
  • Conduct research and related activities so as to avoid or minimize adverse environmental effects of that research and ensure compliance with legal requirements for protection of researchers, human subjects, and research organisms and systems
